What you're reading

This is a real, spec-aligned proposal — the kind a traditional software agency would hand a client before work begins. The timeline, team structure, and price reflect what this project would cost through the old model: a fixed upfront quote, a multi-week engagement, no outcome guarantee. VerticalHorizon delivers the same scope on a committed date, spread across a small down payment and low monthly installments — not a six-figure check upfront. The specification this proposal was priced from is available for download here.

    Reporting & Close Acceleration Platform

Implementation Proposal  ·  Ridgeline Mechanical Services

    1. Executive Summary

This proposal presents a comprehensive solution to deliver the Reporting & Close Acceleration Platform as specified in the functional requirements document (v0.2, dated 2026-07-12). The platform will streamline month-end close processes, automate covenant compliance reporting, and provide real-time visibility into financial performance for Ridgeline Mechanical Services.

    The proposed solution encompasses:

    • Close orchestration with task management and variance commentary capabilities
    • Integrated financial data core connecting QuickBooks GL, job system data, and bank statements
    • Automated covenant tracking with compliance certificate generation
    • Multi-stakeholder reporting (Board/Sponsor and Lender packs)
    • Role-based access control with dedicated sponsor portal views
    • Comprehensive audit trails supporting all financial operations

Delivery Timeline: 22 weeks across 11 two-week sprints
    Total Investment: $501,540

    2. Understanding of Requirements

The RFP defines a specialized financial reporting platform to address the unique challenges of a $30M commercial mechanical contractor operating under credit facility covenants. The system must:

    Close Management

Accelerate the month-end close cycle through structured workflow management, eliminating the current manual checklist process and capturing variance commentary with proper attribution at the point of investigation.

    Financial Consolidation

Construct a management trial balance from QuickBooks GL exports, apply service-line dimensionality, link GL activity to job-level data, and compute portfolio KPIs with full drill-path traceability to source transactions.

    Covenant Compliance

Maintain debt schedule data, calculate the three required financial covenants (Funded Debt/EBITDA, Fixed Charge Coverage, Current Ratio), track headroom against thresholds, and generate compliance certificates with controller certification controls.

    Stakeholder Reporting

Render three distinct reporting packs (Board/Sponsor, Lender) from a single source of truth, enforce finalization blockers preventing premature distribution, and maintain immutable versioning of all distributed packs.

    Data Integration

Ingest data from four external systems — QuickBooks (GL), proprietary job system (CSV), bank statements (CSV), and manually maintained debt schedules — each with defined cadence requirements and format contracts.

    Security & Compliance

Implement role-based access controls differentiating internal users from sponsor portal users, maintain append-only audit logs of all material actions, enforce authentication through managed identity providers, and protect draft figures from premature sponsor visibility.

    Data Integrity

Enforce integer-cents monetary representation eliminating floating-point errors, ensure idempotent ingestion preventing duplicate postings, prohibit direct posting of derived values, and maintain immutability of account mappings after first use.

    4. Proposed Solution Overview

    Technical Architecture

The platform will be built as a cloud-native web application with five architectural layers:

    • Presentation Layer: Responsive web interface with role-differentiated views, real-time close progress dashboards, interactive KPI drill-down, and report preview/finalization interfaces
    • Application Layer: Close workflow orchestration engine, financial computation services (trial balance, KPIs, covenant calculations), report generation with PDF rendering, and audit logging
    • Integration Layer: QuickBooks GL export ingestion with format contract validation, job system CSV processing with cadence enforcement, bank statement CSV ingestion, and batch quarantine for invalid data
    • Data Layer: Relational database with integer-cents monetary representation, immutable pack versioning, append-only audit log, encrypted at rest and in transit
    • Security Layer: Managed identity authentication, RBAC, draft figure access restrictions, API credential management, session management with timeout controls

    Key Technical Approaches

Derived, Never Posted: The platform holds no books of record. Every figure it renders traces through a versioned mapping to an ingested, posted source. There is no path to type a number into a pack — commentary is text; numbers are derived.

Controller Certification Fence: Draft compliance certificates carry a DRAFT watermark and require explicit Controller review-and-certify action before an unwatermarked final may be rendered. The system computes; the Controller certifies. No auto-submission path exists.

Defined-Term EBITDA: Consolidated EBITDA is computed per the credit agreement's defined term — including its enumerated add-backs (transaction expenses within the permitted window; sponsor management fees to the permitted cap; non-recurring items subject to the aggregate cap) — as a configured, versioned formula with each add-back itemized and evidenced.

Integer-Cents Enforcement: All monetary amounts are represented, stored, transmitted, and computed as integer cents (i64). Floating-point monetary types are prohibited in schemas, interfaces, and persistence. Every derived total reconciles exactly to the sum of its ingested components.

    5. Implementation Approach

    Methodology

The implementation will follow an Agile methodology with two-week sprints across 11 iterations, enabling iterative delivery and continuous stakeholder feedback.

    Risk Management

    • Data Migration Complexity: Early prototype development with sample data validation sessions against actual QuickBooks exports
    • Integration Dependencies: Format contract versioning with backward compatibility support for QuickBooks and job system exports
    • User Adoption: Hands-on training during Phase 8 and phased rollout with super-user support
    • Covenant Formula Accuracy: Formula validation sessions with controller and lender representative review; tested against the credit agreement's own worked example

    6. Timeline and Phases

The implementation is structured across 9 phases delivered over 22 weeks (11 two-week sprints):
